Dear Sir,
Following the completion of the pod deliveries on 27 February xxx as recorded in our letter ref (b), we have now concluded the handing over all the 261 pods fully completed, installed and in perfect working condition.
Only the WC seat covers have been kept in our stores and not installed inside the pods to avoid damages that are typically observed as a result of site works by the Main Contractor or his Subcontractors inside the pods. Please note that M/s xxx (Contractor Name) can install these WC covers at this stage if you choose that we do so, however we advise that the seat covers be installed during final snagging-de-snagging.
You will find attached herewith in Appendix 1 a copy of the keys handing over form signed & stamped for buildings 1, 2 and 3 for your information and record.
As of this date, our team has completed all the works related to our scope at your project. Therefore, we request you provide us your expected schedule for the snagging and final project handing over to allow us to remobilize our team to the site.
Also, we would like to notify you that while all 261 pods under our scope are fully approved in terms of MIRs, IRs and finishing WIRs, there is still rejection on 149 pods in the finishing WIRs that is due solely on the free issue marble sets supplied by the Main Contractor.
Accordingly, we refer to your letter: ASC/J-259/SUB-COR/371/22 dated 28 January xxx, point 2, “if the contractor’s rejection is only due to marble material, then respective pods will be certified to the subcontractor” and request you to certify 100% of the 261 pods value in your next progress payment certification for the month of February xxx since all the remaining unapproved pods finishing inspections are solely due to marble as reflected in Appendix 2.
Subsequent to this handing over, we advise that you take all the necessary measures and precautions and inform your teams and subcontractors to take utmost care while working inside or around the pods to avoid any damages or losses of finishing materials or other pod components.
A high level of care is important to avoid future abortive works, especially considering that the majority of the materials are long lead items, and any repair or replacement will incur time and cost implications.
We remain at your full disposal for any support you may require during these final stages.
