Dear Mr. xxx,
We received your letter and would like to respond as follows:
Please be informed that this is the first time xxx is getting such a request on all the below you have mentioned in your letter. We have a clear understanding on our scope of work in terms of fire stopping from the initial stage of discussions and these conditions were never mentioned.
We are following a standard procedure of fire stopping which is recommended by the supplier. The same methodology are been followed in all our jobs both Dubai and Abu Dhabi including the N1R. Also our fire stopping is very limited to shaft area and we have to make sure that this process is completed in our factory itself as we are an offsite construction company.
Please see below our comments on each of the points raised in your letter.
- Approved and Certified material submittals and details of the fire stop: UNP/ We are following the same procedure in terms of fire stopping as shown in our approved shop drawings. We never received any comments from any parties about the fire stopping in our drawings. Regarding the materials we have used all the approved materials in the project to complete the fire stopping.
- Approved Method statement of fire stopping application: UNP/ This is the first time we get such a request and we can submit a Method of statement or standard operation procedure on how we are doing the fire stopping for your review. We will submit the same by 30.04.2018.
- Prequalification of the certified applicator or fire stop material: UNP/ We never received such a request from you earlier neither from any other projects (Ongoing and Completed) to have a certified applicator for the fire stopping. This is generally for the site purpose where a big volume of fire stopping activities are involved. As being an offsite construction company we have a solid procedure of controlling all activities and a quality work is guaranteed. However we will try to negotiate with the suppliers(Gyproc & Hilti) on how we can manage to get a certificate for the applicators.
- Every fire stop material should be tagged by the certified applicator with the reference of the fire stop details: UNP/ This is also a new request we received from Sixco. Please note that we already delivered all the pods in B04 – 413 Pods and around in B11- 48 pods. As mentioned above we will try to negotiate with the supplier(Hilti) on how we can manage to get a certificate for the applicators. We are also in contact with your nominated supplier(Rinse and Shine) for the same and will update you once we have a feedback.
- Fire stopping shall be documented with photographs in the WIRs or MARs of Pods. This is to be used in future as an evidence in case requested by ADCD, consultants, third parties… etc. : UNP/ We have delivered 461 pods to site already as of today. You can inform your quality department to include the fire stopping during the inspection and photograph it for records. In any case I will request our Quality department to include in our picture achieve the fire stopping details on all the future pods.
Please note that to implement all the above newly requested procedure we need time and we don’t expect Sixco want xxx to stop the production until resolved. This is only a matter of a procedure and can be implemented in due time.
