Subject:           Our observation on the tiles delivered at the site and awaited for your response

Dear Sir,

With ref. to above, as per our previous communication we are getting calls to release the payment for the tiles and we would like to inform you that it is your right to get the payment but prior to release of the payment we need to fulfill the following formalities:

1. The delivered material to be inspected by the consultant with the approved sample and document, still we are waiting to have the full size approved sample from the client or from your side.
2. We raised the inspection with the one piece of the delivered tiles to the consultant on dt.11.10.16 that is still pending from their end.
3. Our concern at the site after observation  we are unable to decide that the supplied material size, shape, color and grade are as per the client approval and the deviations in tile level will be accepted or not by the client for the approved grade or sample.
4. We have highlighted our observation that there are little bend at the tile corners but we need confirmation from our client that the delivered material is accepted by them and the same was proposed by you during the  approval and finalization by the client.
5. Once the quality will be accepted by the client and the inspection will be approved by the consultant for the delivered materials we will release your payment.

• We need your senior person to have a meeting at the site with us to understand our concern and you need to explain the same to our customer for your delivered material with in comparison with the initial approved one.

So, we have already highlighted our concern to the consultant and have copied the mail to the client for the delivered material and our comments are already given to them, it does not mean we have approved or rejected until the client and consultant give their final approval/acceptance for the delivered material.
